  • Phone number — required to send and receive SMS messages
  • Name — optional; you may remain anonymous
  • Email address — if you sign up via our website
  • Company affiliation — to associate your observations with the correct safety program
  • Trade and experience level — to calibrate coaching to your expertise
  • Safety observations — the hazard descriptions you text to us

Information Collected Automatically

  • Message metadata — timestamps, delivery status, message direction (inbound/outbound)
  • Consent records — date, method, and content of your opt-in and any opt-out
  • Engagement metrics — observation frequency, response patterns (aggregated, not individual tracking)
  • Website analytics — standard web analytics (page views, referral source) when you visit our website

How We Use Your Information

SMS Communications

Safety as a Contact sends SMS messages to provide workplace safety coaching, hazard observation acknowledgments, and toolbox talk notifications.

  • Data collected for SMS: Phone number, safety observations, message engagement, consent status
  • How SMS data is used: To deliver targeted safety coaching, generate toolbox talks, and track engagement metrics
  • Message frequency: Varies based on your activity. Up to 5 messages per day during business hours (8am-9pm your local time).
  • Carrier charges: Message and data rates may apply per your mobile carrier
  • Opt-out: Text STOP to any message to unsubscribe immediately. You will receive a confirmation and no further messages.

Data Sharing

We do not sell, rent, or share your personal data with third parties for marketing purposes.

We share data only in these limited circumstances:

  • Your employer (company admin) — aggregated, anonymized observation data and engagement metrics for safety program management. Individual observations are never attributed to named workers unless you choose to identify yourself.
  • Service providers — Twilio (SMS delivery), Anthropic (AI coaching), and hosting providers, under strict data processing agreements
  • Legal compliance — when required by law, court order, or government request

Data Security

  • Phone numbers are hashed (SHA-256) for anonymous reporting
  • All data is encrypted in transit (TLS 1.3) and at rest
  • Database access is restricted with row-level security
  • No personally identifiable information (PII) appears in application logs
  • API keys and secrets are stored in encrypted environment variables, never in code

Data Retention

  • SMS consent records: Retained for 5 years per FCC and TCPA requirements
  • Safety observations: Retained per your company's data retention policy
  • Message logs: Retained for 3 years for compliance auditing
  • Account data: Retained while your account is active; deleted within 90 days of account closure

Your Rights

You have the right to:

  • Request your data — email us to receive a copy of your data
  • Request deletion — email us to delete your data (subject to legal retention requirements)
  • Correct your information — email us to update inaccurate data

Children's Privacy

Safety as a Contact is intended for use by adult workers (18+) in lawful employment. We do not knowingly collect information from anyone under 18.
